Single permit
Volunteer

1) For a first application

  • The application form for an authorisation to work for a foreign worker (employer in Belgium or abroad), completed, signed and dated by the employer or their agent (natural person legally residing in Belgium), or generated by the electronic platform
  • A photocopy of every page of the worker's current passport
  • A photocopy of the identity card of the employer or their agent
  • A photocopy of the document covering the worker's stay, if they are living in Belgium
  • Proof of payment of the fee (see residency law of 15 December 1980)
  • If the worker is aged 18 or over, an extract of the police records or equivalent document, certified, issued by the country of origin or the country of last residence of the worker and dated less than six months ago, declaring that the worker has not been sentenced for crimes or common law offences.  This document must be drawn up in French, Dutch, German or English. Any translation of it must be made by a sworn translator (see residency law dated 15 December 1980).
  • A medical certificate dated less than 6 months ago, showing that the worker is not suffering from any of the diseases listed in the appendix of the law of 15 December 1980 (see residency law of 15 December 1980):
    • diseases subject to quarantine as stated in the International Health Regulations of the World Health Organisation, signed in Geneva on 23 May 2005; 
    • active or progressive tuberculosis of the respiratory tract; 
    • other infectious diseases or contagious parasitic diseases if, in Belgium, they are the subject of protection provisions applying to nationals.
  • A model is available on the website of the Immigration Office.
  • A commitment from the employer that the worker has health insurance covering all the risks in Belgium to themselves and members of their family (see residency law of 15 December 1980) 
  • If the occupational category does not expressly require an employment contract or any other document indicating remuneration, proof that the worker has sufficient means of subsistence and, where applicable, the employer’s VAT number.
  • If the host entity provides accommodation, proof that the trainee’s accommodation will ensure decent living conditions throughout their stay, in accordance with the legislation relating to housing (see residence law dated 15 December 1980)
  • The volunteering agreement signed by the volunteer and the host organisation, containing:
    a) the description of the volunteering programme
    b) the duration of the volunteering programme, which may not exceed twelve months
    c) the conditions with regard to the placement and supervision of the volunteer
    d) the volunteering hours
    e) the resources available to cover the volunteer’s living and accommodation costs for the duration of the voluntary service and the amount of the allowance the volunteer will receive for the duration of the voluntary service
  • Proof that the volunteering programme in which the volunteer is participating has been approved in the frame of the European Solidarity Corps

2) For a renewal

  • The application form for an authorisation to work for a foreign worker (employer in Belgium or abroad), completed, signed and dated by the employer or their agent (natural person legally residing in Belgium), or generated by the electronic platform 
  • A photocopy of the identity card of the employer or their agent
  • A photocopy of the document covering the worker's stay in Belgium
  • A photocopy of all the pay slips for the entire period of the authorisation to work that is expiring
  • A photocopy of the individual account after one full calendar year of work by the worker
  • If granted by another region: a photocopy of the worker’s previous authorisation to work
  • A photocopy of the first page of the worker's currently valid passport
  • Proof that the worker has health insurance covering all the risks in Belgium to themselves and members of their family (see residency law dated 15 December 1980)
  • If the occupational category does not expressly require an employment contract or any other document indicating remuneration, proof that the worker has sufficient means of subsistence and, where applicable, the employer’s VAT number.
  • If the host entity provides accommodation, proof that the trainee’s accommodation will ensure decent living conditions throughout their stay, in accordance with the legislation relating to housing (see residence law dated 15 December 1980)
  • The volunteering agreement signed by the volunteer and the host organisation, containing:
    a) the description of the volunteering programme
    b) the duration of the volunteering programme, which may not exceed twelve months
    c) the conditions with regard to the placement and supervision of the volunteer
    d) the volunteering hours
    e) the resources available to cover the volunteer’s living and accommodation costs for the duration of the voluntary service and the amount of the allowance the volunteer will receive for the duration of the voluntary service
  • Proof that the volunteering programme in which the volunteer is participating has been approved in the frame of the European Solidarity Corps
